Zero downtime is the goal, not a stretch

Most office moves we do happen Friday afternoon through Sunday. Crews work straight through if needed. By 8 AM Monday, computers are on the right desks, monitors plugged in, the conference room AV ready to go. Customers run their first meeting on schedule.

Building requirements at both ends

Office buildings require COI on file with property management 5-10 days ahead, plus reserved freight elevator and dock windows on both ends of the move. We handle the paperwork and the bookings. Your facilities manager doesn't chase property managers.

Cubicles, IT, and conference furniture

Modular cubicle systems (Steelcase, Herman Miller, Haworth) get disassembled and labeled by panel for reassembly on the other end. Server racks get strapped and rolled, never tipped. Conference tables come apart at the joinery. We bring the right tools and the trained crews.

Labeled by desk, person, and room

Every box, monitor, chair, and personal item gets labeled with the destination desk number or office. We provide the label scheme. Your staff returns Monday to find their stuff exactly where it should be.

How a commercial move with us actually goes

  1. Step 1

    Site Visit and Scope at Both DMV Buildings

    We come to your current office in K Street, Tysons, Bethesda, Crystal City, Reston, or wherever the lease is, walk the floor with your facilities lead, and inventory cubicles, desks, server room, conference rooms, and shared spaces. Same at the destination if available, so we know elevator dimensions, dock heights, and floor-protection requirements before bidding.

  2. Step 2

    Move Plan, COIs, and Building Coordination

    Written move plan with timing, crew sizing, and labeling scheme. COIs naming both buildings sent to property management 5-10 days ahead. Freight elevator and dock windows reserved on both ends. Security badging coordinated for after-hours access (especially for federal contractors in Crystal City and Tysons). Insurance and additional-insured documentation completed.

  3. Step 3

    Pre-Move Packing and Crating

    Reusable plastic crates and labeled bins delivered the week of the move so staff can pack their own desks. Optional packing service for fragile items, AV equipment, and shared-space inventory. Server room and IT cabinet documented with photos before disconnect. Cubicle disassembly happens Friday after business hours.

  4. Step 4

    Move Window (Friday Evening to Sunday Typical)

    Crews work continuously through the weekend depending on size. IT, AV, and modular furniture handled by trained sub-crews. Same lead foreman start to finish so nothing falls through the cracks. We time loading to clear D.C. weekend road closures and avoid Beltway construction lanes.

  5. Step 5

    Reassembly and Sunday Walk-Through

    Cubicles reassembled to floor-plan spec, IT replugged at every desk, conference rooms restored, shared kitchens and break rooms set up. Sunday walkthrough with your facilities lead and IT lead. Staff arrives Monday morning to a working office; you run your first meeting on schedule.

Commercial moves are quoted by scope, not strictly hourly. The base reflects crew size, hours, equipment, and the complexity of the building access on both ends. Below are typical 2026 ranges for the DMV.

What affects your final price

  • After-hours and weekend scheduling is included in the base quote, not surcharged.
  • IT specialist work (server rack relocation, network reconfiguration, AV reinstallation) is quoted separately by trained sub-crew.
  • Cubicle and modular furniture disassembly and reassembly is included for moves 15+ desks. Smaller moves quote it separately.
  • COI to both buildings is included at no charge. Specialty insurance and additional-insured certificates handled at no extra cost.

DMV office building rules and after-hours coordination

DMV office buildings have stricter access rules than apartment buildings: longer COI lead times, security badging for after-hours, and dock windows that book months in advance. Here is what we coordinate before move weekend.

Class A office buildings: K Street, Tysons, Bethesda metro corridor

Most Class A buildings in downtown D.C., Tysons, and the Bethesda metro corridor require a moving-crew COI naming the building, management company, and ownership entity 5-10 days ahead, plus a reserved freight elevator and loading dock window for the entire move. We handle the paperwork and the booking, including any building-mandated additional-insured language. We also confirm acceptable move hours; some Class A buildings restrict moves to weekend overnights only.

Federal contractor and government-adjacent buildings (Crystal City, Pentagon City, NoVa)

Federal contractor offices in Crystal City, Pentagon City, Tysons, and Reston require security badging for after-hours crew access plus a separate facility-security clearance review. We coordinate badging requests with your facility security officer (FSO) two to four weeks ahead, escort badged crew on a one-day badge program when allowed, and work the move around classified-area restrictions if your space includes SCIFs or controlled rooms.

Baltimore Inner Harbor and downtown office towers

Baltimore Inner Harbor and Charles Center buildings (the Transamerica Tower, Bank of America Center, 100 East Pratt) follow the same Class A playbook: COI, dock booking, freight elevator reservation. Some downtown Baltimore towers also require after-hours moves for tenant impact reasons; we plan around it.

Bethesda and Rockville biotech and medical office buildings

Bethesda Row, Pike & Rose, and Rockville Pike biotech and medical office buildings have lab decontamination and chemical-handling rules that can affect move staging. We coordinate with the building's lab safety officer and the tenant's lab manager before any lab equipment moves, and we route biological-safety cabinets and freezers separately when needed.

Cubicle disassembly and IT continuity

Steelcase, Herman Miller, Haworth, and AIS modular systems get disassembled by panel and labeled for reassembly to the new floor plan. Server racks roll on cart, never tip. Workstation IT (computers, monitors, docks, phones) gets disconnected, packed in labeled crates, and reconnected at the new desk. We coordinate with your IT vendor or bring our own IT sub-crew for network reconfiguration and AV recommissioning.

Multi-floor and phased moves over multiple weekends

Larger DMV office moves (50+ desks) often phase over multiple weekends to keep teams running through the transition. We plan the phase order so dependencies (legal, finance, IT) move together, freight elevators are reserved per phase, and the final phase delivers IT and conference rooms ready for Monday operations.

Q1 (January to March)
